Privacy notice

Who we are

Shania International Consultancy (“we”, “us”) is an overseas recruitment agency in Pune, India. We decide how the personal data you give us is used, so we are responsible for it under India's Digital Personal Data Protection Act, 2023.

This notice covers our website, our application and employer forms, and our WhatsApp number.

What we collect

Only what we need to find you a job:

• From the application form: your name, WhatsApp number, email address (optional), trade, years of experience, whether you have a passport, the countries you prefer and the job you applied for.
• If you complete your profile on WhatsApp: where you live now, your qualification, overseas experience, English level, passport validity, when you can travel and how you heard about us.
• Later, only for a specific job and only when your recruiter asks: your CV, passport details, certificates and trade test results. We never ask you to send documents on WhatsApp.
• From employers who request workers: the contact person's name, job title, work email and phone number, and details of the requirement.
• When you use the website: your IP address and basic browser details, used for a short time to block spam and bots. We don't use advertising cookies.

Why we use it

• To match you with vacancies that suit your trade and experience, now and in future.
• To contact you about your application by phone, WhatsApp or email.
• To share your profile with employers who are considering you for a job.
• To arrange trade tests, interviews, work permits, visas and travel for a job you have accepted.
• To send you updates on WhatsApp, only if you ticked the WhatsApp box. Reply STOP at any time to stop them.
• To keep the records that Indian law requires recruitment agencies to keep.

We use your data because you agreed to it when you ticked the box on our form, or because the law requires it. We never sell it, and we don't use it for anything unrelated to recruitment.

Who we share it with

• Employers abroad, only for jobs you are being considered for. This means your details are sent outside India, to the country of the job.
• Government authorities, when needed for your work permit, visa or emigration clearance.
• Companies that run our systems: Google (email and records), Vercel (website hosting) and Meta (WhatsApp). They store or deliver data for us.

How long we keep it

If you are not placed in a job, we delete your details 2 years after your last contact with us, or sooner if you ask.

If we place you in a job, we keep the records the law requires, for as long as it requires them.

Your rights

You can contact us at any time to:

• get a summary of the data we hold about you and who we have shared it with
• correct or update it
• have it deleted
• withdraw your consent. This is as easy as giving it: email us, or reply STOP on WhatsApp to stop WhatsApp messages. It doesn't affect what we did before, but we won't be able to put you forward for jobs
• name someone to act for you if you die or are unable to act yourself
• complain about how we have handled your data

We will reply within 30 days. If you are not satisfied with our reply, you can complain to the Data Protection Board of India.

Keeping it safe

Your details are stored in our company Google account, which only our recruitment team can open. Our website sends data only over secure (HTTPS) connections.

Age

We only recruit adults. Please don't apply if you are under 18.

Changes to this notice

If we change how we use your data, we will update this page and the date at the top. If the change is significant, we will tell the people who have applied.
